Role and responsibility

A purchasing record that survives each handoff

Prairie Ledger Sourcing is an independent sourcing service. Our service role is procurement coordination, with supplier identity and equipment responsibility confirmed for each inquiry. The catalog names inquiry configurations; a factory must confirm its actual model, availability and commercial terms before a buyer can assess an offer.

A useful sourcing record connects the crop task to the equipment specification and then to the accepted quotation. Tank capacity, nozzle arrangement, liquid flow, power source, spare parts and destination should remain traceable when a supplier proposes an alternative. Changing one field may change the purchase decision.

  1. Buyer defines the taskApplication, site conditions and approval criteria.
  2. Supplier describes the offerModel, documents, included scope and exclusions.
  3. Comparison reveals differencesSpecification deviations, cost basis and support.
  4. Buyer accepts the termsWritten scope, inspection and delivery responsibilities.

Milestones are decisions, not invented history

Brief agreed

Record the quantity and destination with the operating conditions. Unknown requirements stay marked for clarification rather than becoming assumptions in the quote.

Evidence requested

Ask for model-specific manuals, parts lists, compatibility statements and supporting test conditions. A document request is not a claim that a supplier holds a certification.

Offer compared

Separate equipment, packing, transport and after-sales scope. Keep currency, date and delivery term visible so price differences can be interpreted.

Documents to request from a proposed supplier

Review the paper behind the configuration

Model identification

Match the quoted model to its technical sheet, tank, controls and supplied accessories. A generic brochure does not settle a configuration-specific question.

Service documents

Obtain an exploded parts drawing, maintenance schedule, warranty scope and the party responsible for parts fulfillment at the destination.

Destination documents

Ask which product-specific documents support the US shipment and who reviews their applicability. The buyer retains responsibility for destination acceptance.

Factory screening and document collection support a purchasing decision; they do not replace inspection, regulatory review or a signed supply agreement. No factory ownership, historical customer count or verified supplier network is claimed here.

Bring the open questions into your brief

Tell us which requirements are fixed and which can change. That distinction helps organize factory replies without quietly changing your original request.
